Terms & Conditions

Hereafter Exclusive Chauffeur Cars shall be known as “The Company” and the person or persons booking the transport whether verbally, or in writing shall be known as “The Hirer”. It will be deemed that the Hirer accepts responsibility by himself/herself for every person in his/her party and fully agrees to the conditions of hire as follows:


General Conditions

Once the Hirer has made a booking and this has been confirmed, the price quoted to the Hirer will not be subject to alteration unless there is any deviation from details of the booking. The “Company’s discretion” shall be decided by the Directors of the Company at all times, and their decision(s) will be fully binding in all matters. All vehicles and their chauffeurs are licensed by their respective local authority, and strictly adhere to all rules and regulations that are dictated by that authority and prevailing at that time. Details of these licences are available from the Company on request. All information enclosed in the Company’s terms and conditions displayed on our web site, or in any published documentation is given to the very best of our knowledge and experience.

However, the Company will not accept responsibility for any errors or inaccuracies, but will if any such information is made aware to us, investigate immediately and act upon those findings as soon as practical.

The Company keeps a record of any lost & found property, which is handed to it by any of our chauffeurs. If any such property is handed to the Company we will do all we can to contact the passenger identified direct, or the Company concerned via “the Company”. However, if such property is not claimed within 30 days, we will pass such property to the Police. The Company will not accept responsibility for any property once it has left our possession.



Bookings will receive a unique booking reference number and it should be quoted in all correspondence. If the Hirer is unable to quote a booking reference, the Company will be unable to enter in to any discussion about that journey, or any problems relating to it.

All bookings will receive conformation by either E-mail or Fax; if none is received it is the responsibility of the Hirer to contact the Company. Any special instructions must be confirmed in writing by E-mail direct to the Company at the time of booking.



The Company’s price tariff is published under separate cover and, upon request, may be enclosed with any quote provided, prior to opening an account with the Company. The Company will notify all account holders of any price changes at the time of booking, but it is the Hirer’s responsibility to agree these prices with the Company before confirming any booking. The Company regrets that we are unable to retrospectively change any prices after the journey has been completed. Any quotes must be obtained at the time of booking, and should be confirmed in writing.

All prices and quotes may be subject to VAT at the current rate. All prices quoted by the Company at any time, or by any method, written or otherwise are at the Company’s discounted rate. If payment is not received within 30 days of invoice, the full price will then become due. This is 20% more than the discounted price, and may also be subject to VAT. A separate invoice will be issued for this amount, which will be due in full immediately.

Transport hired between 23:00 hrs and 06:45 hrs is normally charged at the standard tariff plus 50%; Bank Holidays are normally charged at double the standard tariff, unless otherwise agreed in writing by a director of the Company.



Journey costs and any other monies due to the Company by the Hirer will, unless prior arrangements have been agreed to in writing, be charged to the Hirers’ main account. Notwithstanding this, payments can be made by major credit card, cash or cheque; the Company is also able to offer credit facilities, although this is subject to status. The Companies credit facilities are totally at the discretion of the directors and maybe withdrawn at any time without prior notice. All credit accounts are payable upon demand, if these terms are not met in any way discounts can be withdrawn at any time and the whole amount will then be immediately due. No payments should be made to our chauffeur, if such a payment is made to any chauffeur; the Company reserves the right to withdraw all responsibility for that journey and any matters in connection with it. If total payment for any invoice has not been received within 30 days, the Company will issue legal proceeding against the Hirer to recover the total amount due for that account, plus any additional charges that have been incurred.



The Company reserves the right at any time to change, replace or renew the vehicle(s) or chauffeur(s) booked or advertised in order to maintain the Company’s high standard. The replacement vehicle or chauffeur would be of the same type and standard as originally booked and wherever possible, this will be duly notified to the Hirer. The consumption of food or food products within the vehicle(s) is not permitted. All our vehicles have a no smoking policy. The supply of alcoholic drinks by the Company may only be consumed within the vehicle at our chauffeur’s discretion and must not be removed from it at any time. The Hirer is responsible for the consumption of any such drinks, and any damage caused. The Hirer shall be fully responsible and liable for any damage caused both inside and outside the vehicle(s) or to our chauffeur by the Hirer or any members of his/her party, howsoever caused. This includes incitement to any third party, which results in damage to the vehicle or its contents.

The Hirer will agree to be liable for the total retail costs of repair including VAT, and the Company will determine the location of the repairer. In addition, the Hirer will be liable to pay to the Company a fixed daily rate (determined by the Company) while the vehicle or chauffeur is out of commission for such restoration, plus any further incurred losses i.e. lost bookings. Where the Hirer has made payment by credit card for the hire, the Company reserves the right to deduct any costs for damage described above from the credit card given.

The Company or its representatives (e.g. chauffeur) reserve the right to refuse entry to the vehicle to any person or persons they deem unfit for whatsoever reason and can refuse to continue the journey if any person or persons behave in a manor which may be determined to other person(s) or to the vehicle and its contents. In this event no refund will be given and indeed additional charges maybe applied. Any extra requests or alterations to the booking (i.e additional pick-up points, change of venues, etc. causing extra mileage and time) not made at the time of confirming the booking cannot necessarily be entertained, although every effort will be made to meet the requirements of the Hirer. Any such alterations would in most cases involve extra charges being levied on the original quotation.

The Company will reserve the right to deduct any extra charges incurred from the credit card given in the event of such charges not being settled direct with the chauffeur at the time of hire. All chauffeur drivers representing the Company hold fully comprehensive vehicle insurance for hire and reward.

The Company agrees to pay up to a maximum of £100.00 for the proved loss or damage of any package, parcel or other item that is being transported or held in the course of business. Any article, which is valued at more than £100, should be reported to the Company’s operator when the booking is made. No liability whatsoever will be accepted for damage to any item over £100, which is not reported and dully noted.


Adverse Conditions

No responsibility whatsoever can be accepted for adverse weather conditions, which may cause delay or cancellation of a booking by the Company, to which the above conditions will apply. Whilst every effort is afforded to the serviceability of the vehicles, no responsibility can be accepted by the Company for mechanical or electrical breakdown however caused.

In the unlikely event of this occurring every effort will be made by the Company for immediate repair to the vehicle so that the journey can continue, or the passenger(s) will be transferred to another vehicle(s) and any reasonable extra costs incurred will be borne by the Company or a refund given in due course.

In the event of any breakdown and/or accident no responsibility will be accepted by the Company for missed connections and/or functions howsoever caused. In the event of a breakdown or accident to the vehicle prior to the date of the booking, every effort will be made to supply a similar or alternative vehicle(s) at the Company’s discretion. If this is not acceptable to the Hirer a refund will be made of monies paid less an administration charge, if applicable.



In the event of a cancellation, any deposit paid by the Hirer to the Company would be forfeited, however unavoidable circumstances e.g. bereavement may be accepted.

Deposits may be refunded at the discretion of the Company. If the Hirer cancels a journey when our chauffeur arrives, or whilst waiting in the case of a “wait & return” appointment, the full cost of the journey and any un-used waiting time, will be due.

If the Company is notified that a booking is to be cancelled within two hours of the appointed pick-up time the whole fee will be due from the Hirer. If this notice is cancelled within three hours (assuming that the chauffeur is not already en-route) a 50% charge will be made. Bookings cancelled by the Hirer outside this time period (assuming that the chauffeur is not already en-route) are not subject to a cancellation fee except where special circumstances prevail. This condition applies to pre-paid accounts and credit accounts. If a passenger fails to turn up within 1 hour of the pre-arranged by the Hirer and contact is unable to be made, our chauffeur will be released and the fare will be charged in full. However, at the Company’s discretion, our chauffeur will wait for a maximum of 2 hours before leaving.


Airport Bookings

Airport arrivals are subject to the following terms; In case of London Heathrow and London Gatwick Airports, the flight will be checked by the Company’s operator 1 hour prior to the expected arrival time (*) as provided by the Hirer when making the booking.

If the flight is expected on time, the chauffeur will be sent in to meet the passenger. There is waiting time of 45 mins from the time the plane lands included within the quoted price. After this time a £5 per 15 min charge will come into force until our chauffeur has met the passenger(s). If the flight is further delayed, waiting time will start from the original expected arrival time. If however, the flight has been delayed when the Company’s operator checks the flight, the chauffeur will only be dispatched to arrive at the Airport in time for the new expected arrival time. Waiting time will only start from that new arrival time. Car parking will be charged at the same rate as charged to the chauffeur by NCP car parks. These rates are published by NCP car parks.

It should be noted that the information services for checking flights are very unreliable, therefore the Company is unable to give any guarantee to the Hirer as to meeting every passenger on time, the Company will however do all in its power to ensure a passenger(s) is/are met on time. The Company does not charge any extra for our chauffeur meeting and greeting passengers at the Airport. (*) In the case of Luton, Stansted and London City Airports the chauffeurs dispatch time will be at least 1½ hrs and sometimes 2 hours earlier to allow for traffic conditions, in these cases additional waiting time that may be charged will be adjusted accordingly.
